One of the most important decisions we will make together is in choosing where to host your Offsite(s).
We’ve searched the globe looking at thousands of hotels, vacation rentals, and other types of meeting spaces, considering a long list of factors (including total number of rooms, room block rate discounts we can negotiate on your behalf, distance from major airports, meeting room availability and layout, “vibes”, WiFi speed, dining and activity options available on-property and within walking distance, and so much more).
Our Basic and Cadence plans include up to 3 rounds of requests for proposals (RFPs) within our curated marketplace.
While we can provide custom venue searches outside our network, we charge an additional fee for this service, and this process takes more time without the same guaranteed savings or on-the-ground quality we’ve come to know with vetted vendors in our curated marketplace.
Our marketplace development team has decades of experience in global events, VIP experiences, luxury travel, hospitality, facilitation for corporate offsites, and more. Needless to save, we’ve done the hard work vetting each property in our curated marketplace for great value, high-level service, and overall Offsite-hosting capabilities so you and your team can enjoy transformational experiences.
If you have already selected your dates, but haven’t signed a contract yet with a hotel and/or meeting space provider, we can help you secure discounts on room blocks, meeting space, food and beverage, A/V, activities and more with the properties in our curated marketplace.
If you have already chosen your venue, we can help you with everything from agenda-planning to vendor selection, contract management, pre/post Offsite feedback forms, on-the-ground transportation, communication templates to share with your team, and more so you can execute astress-free retreat that makes best use of your team’s time.
For the standard 2 night, 3 day retreat, each of your attendees will spend roughly 20 billable hours traveling to and from, and attending, your Offsite, so if you multiply this by the number of attendees for your team retreats, and multiply that number by your company’s average salary, you’ll come across the biggest investment you are making when planning a team retreat.
We ensure this time is well spent so you can accomplish your business goals while also establishing deeper connections within your team and giving everyone a transformative experience they’ll be talking about for years to come.
There is no such thing as too much advance notice. The more time we have to plan your Offsites, the better rates we’ll be able to negotiate with the partners in our curated marketplace, and the more you’ll save with airlines and other vendors.
Plus, you’ll give your team an exciting experience to look forward to, and ensure a higher attendance rate as your employees will better be able to plan their vacations, childcare, and life events around your Offsites.
Offsite recommends a MINIMUM of 45 business days to plan an Offsite. As a general framework, we recommend:
We’ll plan Offsites for as little as 5 people.
For teams of less than 10, your per-person rate will be slightly more than other clients, as we require minimum annual agreements of $2,500. However, the amount of time we’ll save you should pay for ourselves (and then some!).
If you have a small team, consider a Cadence plan including quarterly All-Hands retreats to get the best per-person, per Offsite rates.
We do not currently book flights or arrange travel visas for our clients, but we are happy to connect you with vendors who handle these services from our curated marketplace and offer guidance around how other clients have handled these aspects of Offsite planning (such as issuing temporary Brex or Ramp cards to employees so they can plan their own travel without burdensome reimbursement requests).

If you start with our Basic plans, you can always add more people to your contract and we’ll simply invoice you for the difference after the Offsite is over.
If you choose to plan more Offsites with us, you can always upgrade to a Cadence plan to save more money and plan retreats more strategically across your organization. Simply email our Client Success team and they will work to accommodate more attendees and/or more Offsites!
If you plan to have more than one Offsite in the next year, we recommend you enroll in the Cadence plan to save more money and work with a dedicated Client Success Lead to co-create your cadence.
